How sourcing and factory-visit service costs work in Türkiye

Opaque percentage commissions and vague “all-in agency retainers” make it hard for international buyers to know what work they are actually paying for—or whether their adviser benefits when goods prices rise. This guide explains how fixed-scope EUR pricing works under SerSourcing’s published EUR tariff, what drives budget adjustments and how to prevent double-billing.

1. Why defined scope units beat open-ended percentage commissions

When sourcing building materials, steel profiles or modular components in Türkiye, the effort required to verify a factory or normalise three complex technical quotations depends on number of line items, drawings, physical sites and on-site hours—not simply on whether the eventual container value is €18,000 or €95,000. Percentage commissions penalise larger repeat orders while starving smaller technical trial orders of proper preparation.

Under SerSourcing’s published EUR tariff, every standard service is anchored to an explicit pricing unit and measurable scope cap: per legal entity (SS-DESK, €190), per product family (SS-SOURCE, €690; SS-BRIEF, €390), per physical site visit (SS-VISIT, €490; SS-TECH, €790; SS-PRE, €490), per vehicle (SS-LOAD, €390) or per 30-calendar-day remote coordination period (SS-ORDER, €590; SS-MULTI, €790; BO-15, €1,250).

Under buyer representation, goods contracts and goods payments remain directly between you and the manufacturer. If any different commercial model is ever proposed—or if CFY separately quotes direct supply of goods as a seller—that role and remuneration are disclosed in writing up front.

2. Five variables that determine whether standard pricing fits as-is

Publishing clear EUR prices only works honestly when both parties see the exact boundaries behind each figure. During the free initial review of your enquiry, five practical factors determine whether the base tariff applies unchanged or needs an explicit add-on line:

Scope variables and published EUR rate rules
Cost variable Included in standard base fee Published rule when scope exceeds base limit
Product families & line items 1 product family; up to 10 items in SS-SOURCE / SS-COMPARE (20 in SS-BRIEF) +€95 per extra block of up to 10 comparable items in same comparison; separate family quoted distinctly
Number of quotations / samples Up to 3 quotations (SS-COMPARE); 1 supplier / 3 SKUs (SS-SAMPLE) +€75 per extra quotation in same comparison; +€95 per extra sample supplier in same dispatch plan
On-site hours & vehicles Up to 4 hrs (SS-VISIT / SS-PRE / SS-LOAD) or 6 hrs (SS-TECH / SS-ESCORT) Approved field overtime €75/hr (30-min increments); +€150 for 2nd container/truck at same site & session (adds up to 2 hrs)
Factory geography Core corridor: Maltepe, Kartal, Pendik, Tuzla, Gebze, Çayırova, Darıca Outside core area: €35/hr travel time + €0.45/km car allowance (fuel included) or agreed fixed travel / at-cost flights & hotel
Special scheduling Standard business-day scheduling with confirmed factory access +25% on affected service fee for accepted rush or weekend work (combined cap strictly 25%)

3. Three worked service-budget examples (illustrative tariff arithmetic)

The three scenarios below are illustrative budget calculations showing how standard EUR service components combine. They are tariff explanations—not completed client case studies, manufacturer goods offers or all-inclusive tax invoices.

Worked Example A — Checking one already-identified factory in the core corridor (€490 service subtotal): Suppose you already hold a quotation from a steel fabricator in Tuzla or Gebze (inside our core service area) and want one four-hour on-site visit with agreed checklist observations and an English photo report. You select Factory Visit (SS-VISIT) = €490. Local road travel within the core corridor is included (€0 extra travel). Because the one-off service subtotal is below €1,000, 100% (€490 plus any applicable VAT) is payable upon written scope acceptance before the visit.

Worked Example B — Finding, comparing and visiting a new supplier via bundle (€1,290 service subtotal): Suppose you need a Turkish manufacturer for one building-board family, want up to three responses compared side by side and want one standard visit to the leading candidate located in Pendik (core area). Purchased separately, SS-SOURCE (€690) + SS-COMPARE (€290) + SS-VISIT (€490) would total €1,470. Choosing the Source & Visit bundle (PK-SOURCE) sets the service subtotal at €1,290—saving €180 while guaranteeing none of those three components is invoiced twice. Because the subtotal is €1,000 or above, standard payment stages are 50% (€645) on acceptance and 50% (€645) prior to release of final deliverables (plus any applicable VAT; if the selected plant turns out to be in Bursa or Sakarya rather than the core area, route travel is stated before visit booking).

Worked Example C — Coordinating three existing core-area suppliers plus visiting all three plants (€2,260 service subtotal): Suppose you have placed separate orders with three factories in Kartal, Tuzla and Çayırova and want 30 days of combined dispatch/document tracking plus one standard four-hour visit at each of the three physical sites. SS-MULTI (€790) covers remote coordination only, so each site attendance is added explicitly: €790 + (3 × €490 SS-VISIT) = €2,260 service subtotal (50% = €1,130 on acceptance + 50% = €1,130 prior to final deliverables, excluding applicable VAT and any third-party logistics/testing charges).

Summary of worked EUR service budget scenarios (excluding applicable VAT & goods cost)
Illustrative scenario Selected tariff items Service subtotal Standard payment stages
A. One core-area visit to a known supplier 1 × SS-VISIT (core area) €490 100% (€490) on written scope acceptance
B. End-to-end search, comparison & 1 core-area visit 1 × PK-SOURCE bundle (standalone €1,470) €1,290 50% (€645) on acceptance + 50% (€645) before final release
C. 30-day 3-supplier coordination + 3 core-area visits 1 × SS-MULTI (€790) + 3 × SS-VISIT (3 × €490) €2,260 50% (€1,130) on acceptance + 50% (€1,130) before final release

4. How overlap and double-charging are prevented across bundles and retainers

Buyers combining packages or ongoing 30-day plans (BO-15 at €1,250 for 15 remote hours, BO-30 at €2,250 for 30 hours, or BO-55 at €3,950 for 55 hours) deserve strict billing hygiene. Four rules govern every SerSourcing quotation and are enforced automatically in our interactive Fee Calculator:

  • Bundle component rule: Buying PK-VERIFY (€890), PK-SOURCE (€1,290) or PK-SHIP (€1,290) covers each listed component once; those same components are never billed again individually.
  • Retainer vs fixed-task rule: Approved remote work is either logged against active 30-day plan hours (in 15-minute units) or quoted as a separate fixed-fee task—never charged through both routes.
  • Field report vs retainer hours rule: When you purchase a standalone field visit alongside a monthly plan, the preparation and report included in that field fee do not also deduct hours from your monthly remote allowance.
  • Second-container vs overtime rule: The €150 second-vehicle loading add-on at the same site/attendance already includes up to 2 extra field hours—hourly overtime (€75/hr) is never stacked onto those same two hours.

5. Separating service fees from VAT, out-of-core travel and third-party costs

Every published EUR figure on SerSourcing is a service fee subtotal excluding applicable VAT. Depending on the contracting entity, invoice jurisdiction and tax rules applicable to the specific engagement, VAT treatment is confirmed explicitly in your written quotation before acceptance.

Likewise, external out-of-pocket items—manufacturer sample charges, international courier waybills, accredited ISO/IEC 17025 laboratory tests, certified translations, intercity flights or hotels—are never hidden inside an inflated consultancy fee or added silently after the fact. They are stated in writing and funded/approved in advance.
